How we work

Working with us is simple!

1.

Discovery

A dedicated workshop to understand the client's operation. We define the key success metrics (e.g., lead qualification rate, call volume reduction), identify the most common customer pain points, and map out the specific conversational flows the AI needs to handle (e.g., booking, emergency intake, product FAQ).

AI Training

We gather and integrate all necessary source material. This includes migrating the client's FAQ documents, knowledge base, pricing sheets, and historical chat transcripts. The Zuluz ChatFlow model is then trained on this proprietary data, allowing it to speak using the client’s specialized terminology and brand voice.

Onboarding

We finalize the user experience by designing the AI's persona and tone (e.g., empathetic and professional for legal, urgent and clear for plumbing). We build out the full, end-to-end conversation script, including the specific escalation points where the AI hands off to a human, and integrate the final outputs, such as scheduling widgets or CRM inputs.

Implementation

The technical teams connect ChatFlow to the client’s existing systems. This involves integrating with the website's chat widget, linking to the calendar/booking software, and ensuring data flows correctly into the CRM/lead management platform. The entire system is then placed into a private, staging environment for internal testing and review.

Testing & evaluation

The client team rigorously tests the staging environment, conducting realistic trial conversations to confirm accuracy, tone, and functional connections (like test drives being booked in the correct schedule). Once both our team and the client sign off on the QA, the Zuluz ChatFlow system is officially deployed and launched to live customer traffic.
6.

Delivery

The deployment is followed by a stabilization period where we actively monitor the AI’s performance against the goals set in Step 1. We review transcripts of unanswered or confused conversations and use these insights to retrain and refine the AI model. This continuous feedback loop ensures ChatFlow evolves and improves over time, maximizing its value.
